  1. Our Terms & Conditions

Our Terms and Conditions concern all of the tours and/or products and services provided by Trail Tales.

Trail Tales is a licensed travel agency by the Greek Tourism National Organisation.

These Terms and Conditions apply to all the direct sales from our Company, as well as all third party partners and resellers.

Please read carefully and accept all Terms and Conditions if you are willing to take part in any of our tours or have any transaction with Trail Tales.

By accepting the Terms and Conditions you agree that these Terms and Conditions can not be changed for any reason.

If you have confirmed a booking on any Products with more than one client named and booked on such booking, you shall be deemed to have accepted these Terms and Conditions on behalf of all clients included in the booking (including minors) and traveling on or otherwise participating in any Products (hereinafter “you”, the “Client(s)”), and by such travel or participation all passengers indicate their assent to these Terms. The client who confirmed the booking is deemed to be the designated contact person for all other clients named in such booking.

We strongly recommend that you also read all the details set out in the web page relating to your trip prior to booking to ensure that you understand the itinerary of the trip you are undertaking.

  1. Your Details  – Privacy Policy

For your booking to be confirmed you must provide us, among your payment receipt, all personal details such as full name as seen in your passport, passport number, date of birth, nationality, expiry date, credit card number, credit card name holder and whatever Trail Tales considers necessary for the trip.

Please consider that all personal info is only for the use within our company.

All personal details are associated and can be used only for the purpose of your booking such as tours, events, etc.

Also your contact details can be used only fromTrail Tales as marketing material and just for the purpose of offers and information on our products, services, events and our tours.

  1. Validity

All dates, itinerary, programs, prices and details of our tours are indicative.

Price can not be changed for any reason, only after the reservation made by the client.

Flexibility

You appreciate and acknowledge that the nature of this type of travel requires considerable flexibility and you should allow for alternatives. The itinerary provided for each trip is representative of the types of activities contemplated, but it is understood that the route, schedules, itineraries, amenities and mode of transport may be subject to alteration without prior notice due to local circumstances or events.

Change of itinerary

While we endeavor to operate all trips as described we reserve the right to change the trip itinerary. Please refer to our website before departure for the most recent updates to your itinerary.

After departure: We reserve the right to change an itinerary after departure as a result of weather, local circumstances or events outside of our control. In such emergency circumstances the additional cost of any necessary itinerary alterations will be covered by you.

  1. Bookings, Payments and Cancellation Policy 

To make a booking you can contact us in several ways; directly over the telephone, via our Website, through an approved Travel Agent or by using our contact form. The person making the booking (the “lead name”) must be 18 years old or over and possess the legal capacity and authority to make the booking and accept these booking conditions on behalf of everyone in their party.

You are required to pay a deposit of 30% of the total cost of your chosen trip for your booking to be confirmed.

Τhe rest of the payment for your reservation must be paid at the latest on the day of the booked tour. 

For any cancellation that takes place at least 30 days before the arranged arrival date, no cancellation fees will be charged and the full amount of your deposit will be returned.

For any cancellation that takes place within the period between 29 days and 15 days prior to the arranged arrival date, a 30% of the total reservation cost (full amount of the deposit) will be charged as a cancellation fee.

For any cancellation that takes place 14 or less days prior to the arranged arrival date, there will be a 50% cancellation fee from the total reservation.

In case of early check out – before the pre-arranged departure date of the request – for any reason, the 100% fee from the total reservation will be charged.

If your booking is made within 14 or less days of the departure date then 50% of the full amount is payable. Prices quoted are based on “twin shared” accommodation, and may be subject to change without notice. A supplement will be charged for single room occupancy, as detailed in each Trip details information on our website. We reserve the right to return your deposit and decline to issue a confirmation at our absolute discretion.

A detailed kit list, and information on traveling to the meeting point will be sent to you upon receipt of your deposit/full payment. Meeting instructions and final trip arrangements will be sent to you one week prior to your tour start date.

  1. Amendments made by you

If you choose to change any of the details of the booking or the tour date, after our confirmation has been issued, we will try our best to make the changes requested, subject to availability (extra costs may be applied according to your request) . In any circumstances you can not change anything by no means later than 15 days prior to the proposed departure date. Whilst we will do our best to assist, we cannot guarantee that we will be able to meet your requested change. Any alteration, whether a change to an existing booking or a change to another tour or departure date, will also be subject to payment by you of any costs imposed by any of the suppliers providing the component parts of the tour. No amendments are permitted to your booking within 7 days of departure. If the tour to which you transfer is more expensive than the one you originally booked, a further deposit will also be payable.

  1. Amendments – Cancellation by us

Trail Tales will make all reasonable efforts to ensure that Client’s tour proceeds as planned and represented. However, Trail Tales reserves the right to make changes in the schedule or itinerary of a tour without incurring any refund obligations as a result of unexpected occurrences. Changes in tour services, including but not limited to hotels, itineraries, bike trails, modes of transport, destinations, etc. may be altered at the Company’s discretion, and this is particularly so when said changes are due to the weather, Acts of God, labor strikes or other external forces outside the Company’s control that may affect the tour’s schedule. Most changes are minor. Occasionally, we have to make a significant change. If a significant change has to be made, we will inform you as soon as reasonably possible, if there is time before departure and you have the following options:

  • Accept the changed arrangements (at an additional cost, if applicable).
  • Purchase another available tour from us (paying or receiving a refund in respect of any difference in price).
  • Cancel the tour with a full refund.

You must inform us of your choice within 7 days of our offer. If you do not notify us at all or do so after the 7 days we will assume that you have chosen to accept the changed arrangements.

Very rarely, we may be forced by “Force Majeure”(7) to change or terminate your tour after departure but before the scheduled end of your time away. This is extremely unlikely but if this situation does occur, we regret we will be unable to make any refunds (unless we obtain any refunds from our suppliers), pay you any compensation or meet any costs or expenses you incur as a result.

The Client acknowledges that foreign travel and/or adventure travel requires a degree of flexibility and that unexpected changes may arise due to local circumstances. The Company urges Clients to procure travel insurance to cover such unforeseen events.

All of our trips depend on a minimum and maximum number of participants.

In case that the minimum of participants is not completed at least two weeks prior the arrival date, we reserve the right to cancel the trip.

In case of canceling the trip, if the minimum number of participants required for a particular travel arrangement is not reached, we will refund the whole amount paid from you to us, or you can accept an offer of alternative travel arrangements of comparable standard from us, if available (we will refund any price difference if the alternative is of a lower value).

No other expenses made by you for our trip can be claimed from Trail Tales, such as air tickets, hotel reservations, etc.

Trail Tales reserves the right to cancel the Client’s tour, however, the Company will normally not do so unless forced to do so by virtue of unforeseen circumstances such as flight cancellations, civil or political unrest or “Force Majeure”(7) beyond company’s control or on group tours where minimum numbers have not been reached or if you fail to proceed with full payment of your booked tour.

If we have to make a significant change or even cancellation before departure we will as a minimum, pay you the compensation payable per person:

Compensation will not be payable and no liability beyond offering the above mentioned choices can be accepted where we are forced to make a change as a result of unusual and unforeseeable circumstances beyond our control, the consequences of which we could not have avoided even with all due care. Such circumstances are likely to include those listed in clause 7 “Force Majeure”. No compensation will be payable and the above options will not be available where a change is a minor one, or if the minimum number of participants required for a particular travel arrangement is not reached. We regret we cannot meet any visa, vaccination or similar costs in the event of any change or cancellation by us. Similarly, as you are advised only to book fully flexible connecting transport and other arrangements (such as pre or post tour accommodation) which can be canceled or changed without charge, we cannot pay any cancellation, amendment or other charges you may incur in relation to any arrangements which you have to change or cancel as a result of any change to your tour.

  1. Force Majeure

Circumstances amounting to “Force Majeure” include any event which we or the supplier of the service(s) in question could not even with all due care, foresee or forestall such as (by way of example and not by way of limitation) war, threat of war, riot, civil strife, industrial dispute, terrorist activity, natural or nuclear disaster, fire, acts of God, adverse weather conditions, and all similar events. If we cancel the tour due to “Force Majeure”, we regret that we cannot accept liability or pay any compensation for expenses incurred by participants in preparation for their trip. Trail Tales urges Clients to procure travel insurance to cover such unforeseen events.

  1. Age

For all of our trips the minimum age for the participants is 15 years old and the maximum age is 65 years old. Participants younger than 18 years-old must be accompanied by a responsible adult and always after we are notified in written about the consent of the parents or the legal guardian, to join one of our tours. A Release of Liability must be signed also by the parents or the legal guardian. All of our Terms & Conditions apply also for children. Even though the decision for the participation of children will be at the discretion of Trail Tales.

  1. Medical Requirements

Good physical and mental health are essential for the enjoyment of these active, outdoor trips. All Clients are expected to satisfy themselves prior to booking that they are fit and able to complete the itinerary of their chosen tour as described in our website. You may travel in rugged areas removed from modern medical facilities. Good physical conditioning is recommended as preparation for all trips. By forwarding the deposit and signed Booking confirmation Form, the passenger certifies that he/she does not have any physical or other condition of disability that would create a hazard for him/ herself or other travelers nor do his/her travel companions. It is essential that any participant with a medical condition requiring regular treatment or which may be affected by vigorous activity, high altitude, heat, cold, other natural phenomenon, or particular foods, notifies Trail Tales and the trip leaders, in writing in advance of travel. Trail Tales assumes no liability for medical care. Participants may be required to furnish a doctor’s statement of good health. The judgment of Trail Tales, or the local operator or guide, shall make the ultimate determination of an individual trip participant’s fitness to embark upon, or to continue a trip. You must also promptly advise us if any medical condition or disability which may affect your active participation in your tour or the tour arrangements of any other person develops after your booking has been confirmed. Once a trip has been confirmed, medical circumstances will not be considered as exceptions to our cancellation policy. All participants must be covered by a current medical insurance policy applicable for overseas travel for the duration of their trip. Proof of coverage may be required. The Company reserves the right at any time to require the Client to produce a doctor’s certificate certifying that the Client is fit to participate in the tour.

  1. Behavior

When you book with us, you accept responsibility for any damage or loss caused by you or any member of your party. Full payment for any such damage or loss must be paid directly at the time to the accommodation owner or manager or other supplier. If you fail to do so, you will be responsible for meeting any claims subsequently made against us (together with our own and the other party’s full legal costs) as a result of your actions.

We expect all clients to have consideration for other people. If in our reasonable opinion or in the reasonable opinion of any other person in authority, you or any member of your party behaves in such a way as to cause or be likely to cause danger, upset or distress to any third party or damage to property, we are entitled, without prior notice, to terminate the holiday of the person(s) concerned or we and the relevant person in authority (for example the activity provider) can prevent that person(s) from taking part in the activity(ies) concerned. In this situation, the person(s) concerned will be required to leave the accommodation or other service or activity area (as applicable). We will have no further responsibility toward such person(s) including any return travel arrangements. No refunds will be made and we will not pay any expenses or costs incurred as a result of the termination or prevention from taking part in the activity(ies) concerned.

If you commit an illegal act (including, for example, causing any damage) you may be excluded from the trip and we shall cease to have responsibility to/for you as above. No refund will be given for any unused services.

Our group trips are run by at least one of our guides. The directions of the guide should be respected at all times and his decisions, especially on all matters likely to affect the safety or well-being of any person participating in the trip, are final. If you fail to comply with a decision made by a guide, or interfere with the well-being of the group, the guide may order you to leave the trip immediately, with no right of refund. In such a circumstance, where a traveler is removed from the trip, Trail Tales accepts no responsibility for their transfer back to the tour end point or any costs incurred therein. Any transport arranged for the traveler in question will be at the sole discretion of Trail Tales.

We may also elect not to carry you on any future trips booked. You must at all times comply with the laws, customs, foreign exchange and drug regulations of all countries visited, and you also agree to travel in accordance with our responsible travel guidelines.

  1. Equipment

We provide high end Mountain Bikes and Safety equipment (Helmet, Gloves and Knee pads).Trail Tales is responsible for the condition and functionality of the equipment provided. Trail Tales has no responsibility about the condition of the equipment and bike brought by the participant. 

All participants are responsible to check their equipment before departure and sign the appropriate form. Participants are obligated to hand over their equipment (Bike,helmet, gloves and knee pads) in the exact same condition as they received it. Trail Tales runs a final check at the end of the tour along with the participant to determine the condition of the equipment handed over back to Trail Tales. All damage made to the equipment and referred to as the participant’s fault must be fully paid on the same day(tour’s end).

  1. Special requests

We will consider special requests such as vegetarian meals, high or low floor preferences in accommodation, when you book. We will tell you whether there is a charge for the request. Whilst every effort will be made by us to try and arrange your reasonable special requests, we cannot guarantee that they will be fulfilled. We can only guarantee requests that are confirmed in writing by our Company.

  1. Acceptance of Risk

The client acknowledges that the nature of our product tours is adventurous and may involve a significant amount of risk to clients health and/or safety. To the full extent permissible by law the client hereby assumes all such risk and does hereby release Trail tales from all claims and causes of action arising from any damages or injuries or death resulting from these risks inherent in travel, visiting foreign destinations and participating in adventurous activities such as those included in product itineraries.

  1. Our responsibility for your Tour

14.1. The Client’s booking is accepted on the understanding that they realize the potential risks and hazards that can be involved in tours of this kind including injury, loss or damage to property, discomfort and inconvenience. The Client also realizes that they may travel to remote areas where possible problems may include: forces of nature; terrorism; civil unrest; accidents. The Client also assumes any associated risks with altitude, illness, disease and physical exertion knowing that access to evacuation and/or suitable medical supplies and support may not always be available.

14.2. We promise to make sure that the tour arrangements we have agreed to make, perform or provide, as applicable, as part of our contract with you are made, performed or provided with reasonable skill and care. This means that, subject to these conditions and the other information which forms part of your contract with us, we will accept responsibility if, for example, you suffer death or personal injury or your contracted tour arrangements are not provided as promised or prove deficient as a result of the failure of ourselves and our employees, to use reasonable skill and care in making, performing or providing, as applicable, your contracted tour arrangements. Please note, it is your responsibility to show that reasonable skill and care has not been used if you wish to make a claim against us. In addition, we will only be responsible for what our employees do or do not do if they were at the time acting within the course of their employment (for employees).

14.3. We will not be responsible for any injury, illness, death, loss (including loss possessions and loss of enjoyment), damage, expense, cost or other sum or claim of any description whatsoever which results from any of the following: it is either attributable to you, or attributable to someone unconnected with your tour and is unforeseeable or unavoidable, or is due to unusual or unforeseeable circumstances beyond our control, the consequences of which could not have been avoided even if all due care had been exercised, or an event which neither we, nor our agents or suppliers could have foreseen or forestalled.

14.4. Trail tales is liable to the Client for any damage caused to Client by the failure to perform or the improper performance of the contract unless the failure or the improper performance is due to or arises from factors attributable to the consumer or to any third party unconnected with the provision of the services contracted for, are unforeseeable or unavoidable; nor shall Trail Tales be liable for any failure to perform or improper performance of the contract due to unusual and unforeseeable circumstances beyond the control of the Company, the consequences of which could not have been avoided even if all due care had been exercised; or an event which Trail Tales, even with all due care, could not foresee or forestall. If any damage arising from the non-performance or improper performance of the services involved in the booked tour, Client agrees that any compensation payable shall be limited in accordance with the applicable International Conventions that govern such services. In the case of damage other than personal injury resulting from the non-performance or improper performance of the services involved in the booked tour, the amount payable to the Client shall be limited to a maximum of the price which the Client paid for the tour, not including insurance premiums and administration charges.

14.5. For each tour, Trail Tales will use local suppliers, including hotels, restaurants, means of transport etc, as shown in the specific tour itinerary. The Client agrees that the obligation of the Company to the Client is to select competent, independent subcontractors to provide reasonable services related to the Tour and to exercise reasonable care in selecting such suppliers and that the Company cannot be held accountable or liable for third parties conduct. Although the Company represents that it contracts with reliable, professional and responsible third parties, in the event such third parties cause injury, damage, loss, delay or irregularity, the Company cannot accept responsibility or liability for third party actions.

14.6. Please note, we cannot accept responsibility for any services which do not form part of our contract. This includes, for example, any additional services or facilities which any supplier agrees to provide for you where the services or facilities are not advertised by us and we have not agreed to arrange them as part of our contract. Any optional excursions or activities booked during your holiday do not form part of our contract as these are all arranged for you directly by the suppliers concerned. In addition, regardless of any wording used by us on our website, in any advertising material or elsewhere, we only promise to use reasonable skill and care as set out above and we do not have any greater or different liability to you.

14.7. The promises we make to you about the services we have agreed to provide or arrange as part of our contract – and the laws and regulations of Greece – will be used as the basis for deciding whether the services in question had been properly provided.

14.8. Our responsibility does not start until you meet the group at the designated start point of the tour; usually the airport in the city at the start of the trip or a designated meeting point. We are not responsible for any additional expenses incurred by you in getting to the meeting point, unless differently agreed.

  1. Insurance

You will need travel and medical insurance that covers mountain biking, as well as your European Health Insurance Card. We strongly advise you to send us by mail your medical insurance, in order to be allowed to participate at all of our tours. If not you will not be able to join the trip with Trail Tales.

We also recommend you to have Travel insurance that provides cover against personal accident, death, medical expenses and emergency repatriation. Also cancellation, curtailment, personal liability and loss of luggage and personal effects. For all that Trail Tales has no responsibility at all.

  1. Passport and Visas

You are responsible for arranging, and must have, a valid, acceptable passport and any visas and vaccination certificates required for your entire journey and tour. Any information we give about these matters or related items (climate, clothing, baggage, personal gear etc) is given in good faith but without responsibility on our part. We regret we cannot accept any liability if you are refused entry onto any transport due to failure on your part to carry all required documentation. If your failure to have any necessary travel or other documents results in fines, surcharges or other financial penalty being imposed on us, you will be responsible for reimbursing us accordingly.

Before booking your trip, we recommend you to visit the Hellenic Ministry of Foreign Affairs for updated information on visa requirements.

  1. Complaint procedure

Complaints in the first instance should be made to your guide/ leader so that action can be taken to alleviate the problem. If not while the trip takes place or in case you attempt to address the problem on your own, you are fully responsible for whatever the consequences will be. All complaints should be made in writing within 14 days of your departure date.

  1. Delays

It is your responsibility to be ready to embark on the trip as specified in the itinerary. Trail Tales is not responsible for any losses due to canceled or missed flights, changed flight itineraries, late arrivals, or early departures. Our responsibilities do not commence until the appointed time at the designated meeting point.

  1. Image release

Trail Tales may use, re-use and reproduce any images, photos, or videos that are taken by our guides and/or other Participants or that you send to us, of you individually or in a group, free of charge and without your right to inspection, for promoting and publicizing our travel products and services. If you do not want us to use any images of you that are taken by us or other Participants during the tour, you must inform us or your tour leader in writing at the start of the tour.

  1. Applicable Law

The Contract and these Terms and Conditions are subject to the laws of Greece and all Clients submit to the exclusive jurisdiction of the courts located in Thessaloniki, Greece for the resolution of any dispute under these Terms or concerning a Product.

Note: Trail Tales reserve the right to update and/or alter these Terms at any time, and shall post the amended Terms on the Trail Tales Website. Any such amendment shall take effect 10 days following their posting to the Website. The latest Terms, as amended, may be accessed any time on Trail Tales website at http://www.trailtales.gr/terms-conditions/, or will be sent to Client upon their written request to Trail Tales. Clients shall be deemed to have accepted any amendments to these Terms on the date that is 10 days after their posting on the Trail Tales website. Trail Tales recommends that all Clients refer to the Terms prior to their travel to familiarize themselves with the most up-to-date version hereof. We are not responsible for any losses due to canceled or missed flights, changed flight itineraries, late arrivals, or early departures. Our responsibilities do not commence until the appointed time at the designated meeting point.

If you or any member of your party misses your flight or other transport arrangement, it is canceled or you are subject to a delay of over 3 hours for any reason, you must contact the airline or other transport supplier concerned directly and immediately. As we do not offer flights or other transport as part of our package, we have no liability whatsoever to you in respect of any such delays or cancellations. Any airline or other transport supplier may however pay for or provide refreshments and/or appropriate accommodation and you should make a claim directly to them.
